Media Visits During Festival Days Policy for Texas Renaissance Festival
Thank you for your interest in covering the Texas Renaissance Festival. Please note that our media visit policies have recently changed:
Videography: No videography is allowed without a TRF marketing liaison present. All videographers must be accompanied by a member of our marketing team.
Media Shifts: Each festival day includes a maximum of six media shifts, available on a first-come, first-served basis. Each shift lasts three hours:
- 9:00 AM - 12:00 PM
- 1:00 PM - 4:00 PM
- 4:00 PM - 7:00 PM
Please note that we will only allow two shifts per media team per weekend. We recommend getting on the schedule as early as possible, and you will need to provide the first and last names, as well as email addresses, for all intended media guests, including crew.
Check-In Requirement: All media personnel, whether requiring a liaison or not, must check in at the media center located at the front entrance of the park.
Photographers: If you are solely capturing still images, you do not require a liaison. We can simply add you or your photographer to our Expected Media List, allowing you the freedom to explore the park.
Press Passes: We are happy to provide a press pass, and if necessary, a preferred parking pass. Please note that parking passes must be requested in advance, and an email address must be provided for coordination.

Media Visits on Non-Festival Days Policy for Texas Renaissance Festival
Thank you for your interest in covering the Texas Renaissance Festival during non-festival days. Please note our media visit policies for these occasions:
Videography: All videography must be coordinated with a TRF marketing liaison. A member of our marketing team will need to be present during all videography sessions.
Scheduling: To schedule segments and interviews on non-festival days, we require at least one week's notice. While requests can be sent at any time, coverage hours are from 9:00 AM to 3:00 PM. Exceptions can be negotiated if necessary.
Check-In Requirement: All media personnel must check in at the main office, as the main gates are usually locked. This helps us coordinate and facilitate your visit effectively.
Interviews: If you wish to conduct interviews, please provide a list of topics and the individuals you would like to interview in advance. This will help us arrange the necessary participants.
Press Passes: We are happy to provide a press pass for your team. Please let us know in advance if you will need any special accommodations or access.

Media Interaction with Performers and Vendors Policy
Thank you for your interest in covering the Texas Renaissance Festival. Please note that our performers, vendor shops, and concessions are commonly independently run businesses. To facilitate any interactions with these shops and attractions, we require advance coordination.
If media representatives desire to engage with performers, vendors, or concessions, please inform us well in advance. This allows us to accommodate your requests and ensure a smooth experience for all parties involved.

Media Passes Policy FAQs:
Thank you for
your interest in covering the Texan Renaissance Festival (TRF). To ensure the
smooth operation of our festival and provide fair access to all media outlets,
we have implemented the following Media Passes Policy:
Limited Spots: Please note that media passes are limited, and access to the festival is on a first-come, first-served basis. We encourage media representatives to submit their requests as early as possible to secure their spots.
Right
to Deny Passes: Texan Renaissance Festival reserves the right to deny media
passes to any individual or organization at our discretion. Factors considered
may include but are not limited to, the relevance of the media outlet to our
target audience, previous coverage of similar events, and adherence to
journalistic standards.
Approval
Notification: Upon receipt of your request, our marketing team will review the
application and notify you of the approval status within a reasonable
timeframe. Please note that spots are limited and it is advised that you make
pass requests at your earliest convenience.
Pass
Pickup: Approved media representatives will be provided with instructions on
how to pick up their media passes prior to the festival date.
Pass
Usage: Media passes are non-transferable and must be worn visibly at all times
during the festival. They grant access to designated media areas and activities
as determined by TRF management.
Coverage Guidelines: While covering the Texan Renaissance Festival, media members are expected to adhere to professional standards of reporting and respect the privacy and rights of attendees, performers, vendors, and staff.
Submission
of Coverage: We kindly request that media outlets share their coverage of the
festival with us after the event for our records and potential promotional
purposes.
Changes
to Policy: Texan Renaissance Festival reserves the right to modify or update
this Media Passes Policy at any time without prior notice.
